What this policy covers
This website has two forms and nothing else that collects information about you. There is no account to create, no newsletter, no comments and no shop. Everything below is about what happens when you use one of those forms.
When you make an enquiry
The short form on the home page, the For Organisations page and the About page asks for your name, your email address, your organisation if you choose to give it, what you are hiring for if you choose to give it, and your message.
We use it to reply to you and to have the conversation you started. Our lawful basis is legitimate interests: you asked us to get in touch, and answering is what you would expect us to do.
When you join our talent network
The form on the Join Our Network page asks for your first and last name, your email address, your current role and organisation, your location, your LinkedIn profile if you choose to give it, your areas of expertise, anything you want to tell us, and your CV if you attach one.
That form has a tick box which is never ticked for you. You tick it yourself, and without it the form does not go through. Our lawful basis for holding your details and contacting you about roles is the consent you give at that moment. You can withdraw it whenever you like by emailing tm@transfersinsport.com, and we will delete what we hold.
We do not ask for information about your health, ethnicity, religion, sexual orientation or political views, and we would rather not receive it. Please leave it out of your message and, as far as you can, out of your CV.
What happens to your CV
People ask, so here it is in full.
Nothing is stored on this website. There is no candidate database inside it, no file library entry, and the answers you type are not written to the site either. They exist only in the email that reaches us.
While the form is being processed, the file sits in the server’s own temporary area, outside the website’s files, for the length of a single page request. In that moment it is checked: the file type is read from the file’s own signature rather than from its name, and anything over 8 MB is refused. It is then attached to our email and renamed, so it arrives as Firstname-Lastname-CV.
As soon as the email is handed over, that temporary file is deleted. This happens whether or not the email went out. In practice the whole window is under a second.
After that, the only copy of your CV is the one in our inbox.
How long we keep it
We keep enquiries for 24 months from our last contact with you. Talent network details and CVs are kept for 24 months from our last contact, and are then deleted.
Because your details sit in our inbox rather than in a system on the website, deleting them means deleting those emails. We do that on the schedule above, and at any point you ask us to.
Who else is involved
Our website is hosted by Hostinger, which stores the site’s files and runs its web server. Like any web server, theirs keeps access logs that include visitors’ IP addresses. We do not use those logs to identify anyone.
Our email is provided by Google Workspace. Anything sent through the forms passes through them and is stored in our mailbox.
We do not sell your information, and we do not pass it to advertisers or data brokers.
Cookies and tracking
This website sets no cookies. It has no analytics, no advertising pixels and no social media trackers. The fonts are served from this site rather than from Google, so loading a page sends nothing to anyone else.
If that ever changes, this page changes with it, and we will ask for your agreement first where the law requires it.
Where your information is held
Google Workspace stores and processes email on Google’s infrastructure, which includes servers outside the United Kingdom. Where information leaves the UK, that transfer relies on the UK addendum to the EU standard contractual clauses, which forms part of Google’s terms for business customers.
Your rights
Under the UK GDPR you can ask us to tell you what we hold about you and give you a copy of it, correct anything that is wrong, delete what we hold, stop or limit what we do with it, send your details to you or to someone else in a portable form, or stop relying on your consent where consent is what we relied on.
Email tm@transfersinsport.com and we will answer within one month.
We do not make decisions about you by automated means, and we do not profile you.
If something is wrong
Tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how any of this works, we will change this page and update the date at the top.
